A clinic inquiry is not a booking.
A booking is not an attended visit.
Review the ad, the first response
and the path to an appointment.
The inquiries arrive. The appointment book still has gaps.
An inquiry, a confirmed appointment and an attended visit are different results. We review the ad, booking page and reception process, then compare available internal records without promising to send patient information to Meta.
Why inquiries fail to become appointments
A submitted form says little about the booking
A general question and an inquiry the clinic can serve may count as the same ad conversion. Internal records are needed to see the difference.
The first response arrives too late
The person may have contacted another clinic. Check who responds, when, and what happens after the conversation.
The booking page leaves practical questions open
Explain what the first consultation involves, the clinic’s location, available services, pricing information and how to book. Clinical claims need the clinic’s factual approval.
The ad report stops at the form
The clinic needs to distinguish contact, booking and attendance in its own reporting. That does not mean every stage can be transmitted to an advertising platform.
What needs to work between inquiry and visit
Help the patient decide whether to inquire
Align the ad and booking page with clinic-approved facts about the consultation, service, price and booking process. Test explanatory material and clinic introductions; production and consent are agreed separately.
Give the inquiry a clear owner
Review first-response time, the responsible person and follow-up. Reminders or rescheduling tools are separately scoped rather than promised to eliminate no-shows.
Ask only what the booking process needs
Make location and contact options clear. Review the clinic’s own inquiry form without proposing medical-history, insurance or affordability profiling for advertising.
Keep appointment reporting inside the clinic
Review available internal counts of inquiries, bookings and attendance. Patient records, treatment details and patient-linked revenue are not promised as Meta signals. Any potential platform transfer needs a separate assessment of law, platform rules and the actual data source.
Start with the inquiry-to-appointment path
A 15-minute conversation clarifies your task, market and available data. Public pages help us orient the discussion; a deeper account, CAPI or CRM review is a separately agreed paid diagnostic.
- ✓ Whether the ad and booking page answer the same question
- ✓ How the clinic handles a new inquiry
- ✓ Where internal booking records show a drop-off
- ✓ Which evidence would be needed to choose the first change
Questions from clinic owners
Can we assess confirmed appointments rather than forms?
+
Yes, where the clinic records and can assess them internally. CRM availability alone is not permission to send appointments or patient-related information to Meta.
What if we have no CRM?
+
Start with the clinic’s permitted internal booking records or a simple count by stage: inquiry, response, booking and attendance. Do not send patient exports to the agency through this inquiry form.
Could the problem be outside advertising?
+
Yes. Missing information, a slow response or unsuitable appointment availability can interrupt an otherwise relevant inquiry. A targeting change will not resolve every booking problem.
Can calls and reminders be included?
+
We can assess phone inquiries and reminder needs. Call recording, new phone systems and automated messages require a separate scope, lawful handling and approved data flows.
What budget and result do you commit to?
+
We agree setup, management, measurement and testing work. Budget follows the location, economics and available demand. We do not promise patient numbers, a no-show reduction or a date for booked treatments.
What should we bring to the first conversation?
+
Service information, location, current ads and booking pages, plus a description of how the clinic records inquiries and appointments. No patient records are needed for that conversation.
Choose the services the task needs
We choose measurement, creatives and campaign management from the evidence. Canem Errant can take on implementation and ongoing work, with scope agreed before work begins.
Server-Side Tracking
Review internal inquiry and appointment reporting. Assess platform transfer separately; patient data is not promised as a signal.
ServiceCreatives & Content
Test messages and formats with suitable material and agreed usage rights.
ServiceMeta Ads
Manage campaigns around the business goal and evidence from actual results.
From clarification to implementation and ongoing work
If the cause or scope is unclear, we agree the suitable paid diagnostic. A Meta-specific question may lead to Meta & Measurement Diagnostic, followed by a decision and a concrete implementation proposal. If the task is already confirmed, we can propose implementation or ongoing work directly. Ongoing management and media spend are not automatically included in a diagnostic.
Discuss the patient booking path
Describe your market, website and current task. The first conversation clarifies the data and scope needed. Please do not send passwords or personal customer records.
